What it costs, what you have to take, and how a changeover actually works.
What does GroupEd cost for a 200-pupil primary?
On a 200-pupil roll, One — the full MIS — is £1,690 a year (£290 base plus £7 per pupil), and that price includes Classroom, OnSite and the Parent & Carer app at no extra cost. That is about £8.50 per pupil for the whole platform. You can also buy Classroom or OnSite on their own, at £1,190 and £379. All prices +VAT.
Do we have to buy all four products?
No — and if you take One you already have them. One’s price includes Classroom, OnSite and the Parent & Carer app. If you would rather start smaller, Classroom and OnSite each work on their own alongside the MIS you have today, and the Parent & Carer app is free for parents whichever route you take.
Does GroupEd work for a small primary?
Yes — any size. There is no minimum roll, no tier you are too small for, and the price scales with your pupil numbers, so a 60-pupil village school pays a fraction of what a 400-pupil primary does. A small office team is exactly who benefits most from one login instead of four.
Should we switch in the summer, or can we do it mid-year?
Either. Summer is the tidiest, but there is nothing stopping a January or Easter changeover and plenty of primaries do exactly that. Your old system stays on while your team learns on your own data, so there is never a morning where the register is in doubt.
Is the Parent & Carer app really free for parents?
Yes. It is free for every parent and carer at a GroupEd school, with no subscription and no ads. Grandparents and childminders are included too, each with their own login and all reading the same thread, so every adult around a child gets the same information. It comes with the school’s subscription rather than as an extra.
Is GroupEd available in Welsh?
Yes, bilingual as standard at no extra cost. Staff and parents each choose Cymraeg or English for themselves, so a Welsh-medium primary and an English-medium one run the same software with no separate version to buy or maintain.
